Paperless for Mac OS X

I have a friend that uses Filemaker to track his receipts. He scans them into the Mac as PDF files and then imports them into the database. Mariner Software has announced a program that specializes in doing just that called “Paperless.”

At my full time job, I am in the process of entering the indexes for a similar project where we are tracking the documents needed for government reporting.

Formerly ReceiptWallet, the newly-rebranded Paperless allows you to scan in and manage your receipts and documents. When you scan in each receipt or document, you enter a few pieces of information about it and then you can quickly and easily locate your receipts and documents. With Paperless, you can view the receipts right on the screen, print them, email them, or save them as PDFs. In addition to the powerful search built into Paperless, you can organize your receipts and documents into collections. These collections can contain whatever you want and even better than that is the ability to create smart collections that automatically create collections based on whatever criteria you like.

Mariner has made a very good business in specializing very niche markets such as software for screen writers. This is another one.

They do have several uses for Paperless, but they all relate to tracking information.

Some examples of uses they give:

Prepare expense reports: If so, Paperless can help. Once you store your receipts in Paperless, you can select the receipts to email, print, or export to PDF.

Taxes and accounting: The IRS (or other tax authority) may accept electronic copies of your receipts. Paperless makes gathering information for taxes a snap!

Manage flexible spending: Enter items into a category called Medical or Flexible Spending, then create a smart collection for the time period, say the last six months. They can also be exported to a CSV file and imported into Microsoft Excel.

Store owner’s manuals: Most owner’s manuals these days come as PDFs and are either on the manufacturer’s website or on a CD? Add these manuals to a Paperless library to make them easy to find.

Of course there is more uses than these and while Mariner does list more on the web site, you are really only limited by your imagination.

• TWAIN compliant scanner or Fujitsu ScanSnap S1500M or S300M, Pentax DS Mobile 600 scanner (recommended)
